The position

Job description

Your tasks and responsibilities will be:

  • Strong support of the Client Experience Manager:

  • Creating weekly service packages for clients

  • Keeping track of daily operations

  • Reviewing daily services sold

  • Excel sheet to be aware of the client’s daily activities & services

  • Maintaining good relationships with suppliers on behalf of the company

  • Finding new suppliers in different destinations

  • Back-office Organization:

  • Ensuring everything is ready upon client’s arrival

  • Assisting with the shopping bookings

  • Making & reconfirming restaurant reservations

  • Updating the restaurants’ opening & closing sheet

  • Creating and keeping updated an Excel for each client with all restaurants booked

  • Request & follow up on invoices from the corresponding supplier

  • Updating supplier prices on the system (Lucy)

  • Creating a monthly overview of bookings focused on restaurant reservations

  • Follow-ups with clients and suppliers during on-going services

  • Closing the booking process by adding the invoices into the system

  • Operational Organization:

  • Quality control & evaluating suppliers through testing by representing Le Collectionist

  • Assisting with the check-in & check-out during peak season if needed

  • Running errands and deliveries before and during their stay

  • Assisting with the shopping bookings

  • Assisting on boat check-ins service

  • Keeping track of daily operations

  • Staying updated about the latest services and events on the island in order to advise the client about new experiences

  • Finding new suppliers in different destinations

  • Maintaining good relationships with suppliers on behalf of the company

Preferred experience

  • Perfect English (spoken and written)

  • A valid driving license in Spain

  • An extensive personal travel experience

  • To be highly organized and punctual - this is crucial in your role

  • To always answer the phone and greet clients with a smile (on your face and with your voice)

  • Hospitality Savoir-Faire and utmost politeness

  • Great administration skills (use of computers and Microsoft Office Pack)

  • Excellent attention to detail

  • To respect the confidentiality character of the job

  • Dress smart-chic during all office hours and wear the uniform in front of clients

  • Great interpersonal and communication skills

  • To be friendly, patient, objective-driven, pro-active

  • Ability to work under pressure and multi-task
